Terms of Service

1. Acceptance

By accessing or using DotPhraser at dotphraser.com or app.dotphraser.com (the “Service”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree, do not use the Service.

2. Not a Clinical Tool

DotPhraser is a documentation drafting aid, not a clinical decision support tool. Output generated by DotPhraser is produced by an AI language model and may contain inaccuracies, omissions, or clinically inappropriate content. DotPhraser does not provide medical advice, diagnosis, or treatment recommendations.

All AI-generated content must be reviewed, verified, and approved by a licensed clinician before inclusion in any patient record. You assume full responsibility for any dot phrase or documentation template you import into your EHR system.

3. User Responsibilities

You agree to:

• Not enter patient data. You must not input any Protected Health Information (PHI) — including patient names, dates of birth, medical record numbers, or any other patient-identifiable information — into DotPhraser prompts.
• Review all output. You are solely responsible for verifying that generated dot phrases are clinically accurate, appropriate for your patient population, and compliant with your organization’s documentation standards before use.
• Verify that any @tokens@ (e.g., @LASTCBC@) match your organization’s specific EHR build before importing.
• Use the Service only for lawful purposes and in compliance with applicable healthcare regulations.
• Keep your account credentials secure and not share access with others.

4. Subscriptions and Billing

Free tier. New accounts receive 3 dot phrase generations per calendar month at no charge.

Paid plans. Paid subscriptions (monthly or annual) unlock unlimited generations. Billing is processed by Stripe and charged at the start of each billing period.

Cancellation. You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. We do not offer partial-period refunds except where required by applicable law.

Price changes. We reserve the right to change subscription prices with at least 30 days’ notice. Continued use after the effective date constitutes acceptance of the new pricing.

5. Intellectual Property

DotPhraser retains all rights to the Service, including the SmartLink registry, prompt system, and user interface. You may not copy, reverse-engineer, or resell the Service or its underlying technology.

6. Disclaimer of Warranties

The Service is provided “as is” and “as available” without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or that AI-generated content will be accurate or complete.

7. Limitation of Liability

To the maximum extent permitted by applicable law, DotPhraser and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including clinical errors, patient harm, or regulatory penalties — arising from your use of AI-generated content. Our total liability for any claim shall not exceed the amount you paid for the Service in the three months preceding the claim.

8. Account Termination

We reserve the right to suspend or terminate accounts that violate these Terms, including accounts that input PHI or use the Service for unauthorized purposes. You may delete your account at any time by contacting contact@dotphraser.com.

9. Changes to These Terms

We may update these Terms at any time. Material changes will be communicated via email to registered users. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.

10. Governing Law

These Terms are governed by the laws of the United States. Any disputes shall be resolved through binding arbitration or, where arbitration is not permitted, in the courts of competent jurisdiction.
